1. Membership Cards

The current set of plastic covers was produced, measured, fiddled with and discussed, and it was eventually decided that:
  • We should keep the existing plastic covers; it is possible to make a perfectly servicable membership card using them.
  • Membership cards would probably be best created by printing out both sides on regular paper in such a way as to fold one side over the other to create a two-sided card.
  • It is probably the best idea to make the cards themselves about 10mm in each direction smaller than a credit card, so that it is possible to enclode in the plastic wallets and subsequently cut to credit-card size.
  • Thus, it is possible to fit at least 6 to a page, and so possible to print them in colour – at approximately 5 pence ea., given the number of cards we are likely to need, it is affordable.
Also, the design of the cards was discussed, and the following basis decided upon:
  • Null Side: University Crest, CompSoc logo, Year and URL of CompSoc Homepage.
  • Use Side: Name, Membership Number, Library Card Number, Exec. Authorisation Signature.
There also ensued a lengthy discussion on the relative merits of different levels of security on the Socials Web Signup, and eventually it was decided that a membership number and a password would be sufficient.

2. Society Fair Booklet

On the second item, Chris Smith produced a mockup booklet, and we saw that it was good.

3. Zippys

Is not Zippys. The introductory social for next academic year has now been booked by Chris Smith, but it is not, as was previously expected, in Zippys. The introductory social will instead be held in South Central , Wednesday of week 2, between the hours of 7 and 8, pm. Quite disturbingly, Chris reported that they were 'unsure’ as to whether the bar would be open…

4. Posters

Posters are needed to advertise the Friday Evening Gaming Session in the first week of term. The relevant information, of course is: Gaming Session, ITS, authorised, week 1, non-members can sign up on the day.

5. Open Source Project

Push forward to next meeting. Provisionally scheduled for sometime Week 3, as by this time the first years will have stopped getting completely slaughtered every evening – Probably – and we may get some fresh attendees.

6. FEGS

/Still/ no further word has been received from ITS on the subject of an extension until 4am for the Friday Evening Gaming Sessions, and as such it was decided that we should assume that it is acceptable unless informed otherwise. In other news, no exec members will be attending the Last-Friday-Of-The-Year session, and as such it was decided that it would be prudent to mail the society and inform them – and gaming on the last friday, even within the hours of 10pm to 2am, is done externally to the society. Chris Smith to send mail.

7. Alton Towers

Was a mixed bag. A Success in that everyone who went enjoyed themselves, a faliure in the apocalyptically small number of people that actually went. Not that this should prevent the same event running next year, of course.

8. Laserquest

Push forwards to next meeting – Laserquest for around week 4. On a Wednesday, of course.

9. Locker

Mike, who remains on or around campus, to ask over vacation about a locker in the shiny new DCS building, as it is possible that we may have to get in early.

10. Freshers’ Fair

Mike to investigate preparations for a stand at the Freshers’ Fair. Particularly, position in hall and aquiring a board to pin things to behind the desk. Chris noted that the previous year, boards were available from the SU with a deposit, returned if the board was. He also noted that last year the Computing Society managed to get away with using the back of the board of the stand behind them (as they are placed back-to-back). It was previously suggested that an exec member could bring their computer to the fair and leave it on the stand – this idea was decided against, on the grounds that there is not much space as it is, and we are being rather adventurous already with the membership cards – this may need a fair amount of space to operate successfully. In addition, the main reason to bring a computer would be to attract people to the stand, and given the higher profile Gaming Sessions are getting this year, it may not be needed.

11. Flyers

Flyers are needed to spam DCS pigeonholes with. :-) Chris Smith to design and order flyers – also enquire to DCS how many entrants to expect next year, and thus how mny flyers to print.

12. Cousins Meeting

Mike proposed that the society present itself here, via an exec member turning up and doing a speech, with signup at the event. After discussion, it was decided that it was feasible, but probably (with any luck) not needed if Chris manages to get into a first year lecture as he did last year (to great success). Someone to remind Mike to talk to Mike. (Squire and Luck respectively)

13. The Word

Mike to submit CompSoc socials in the first two weeks to be listed in The Word’s events listings.

14. Next Meeting

The next meeting will definitely be the first week of term, but will remain unscheduled until everybody gets at their timetables.

1. Membership Cards

It was noted that Ryan has obtained quite a few plastic wallets, but these were slightly larger than credit-card size. Solutions were dicsussed, again: Chris Smith and Barry to look into prices of Laminaters. Ryan to bring a few wallets to next meeting, so we can try cutting them down to various sizes. (This means we will not be able to return said box, of course.) Also, the cards themselves were discussed. The main issues are:
  • The content to be printed on the cards, so far including the Computing Society logo, the web address, and membership details.
  • What material these details should be printed on – paper or card.
  • Where we should have the printing done. The options appear to be Lazer Lizard, who would probably be able to print on paper or card, An external professional printers, likewise, and CSV’s Laser Printer, which for 30 pence can print one side A4 in colour. Chris Smith to look into prices.

2. Booklet

The Booklet to be given out at the Fresher’s Fair – Chris Smith has started writing it, will bring finished article to next week’s meeting for viewing. Cost as yet undetermined.

3. Bubble Wrap

Is Good.

4. Budget

Ryan to find out when the budget ends and moeny disappears, so the society can make sure everything needed is bought before that date.

5. Science Ball

Ryan not present at meeting, so no further news on Science Ball. Ryan to buy round of drinks for Compsoc exec at ball. All complaints directed at the president of the computing society.

6. Friday Gaming Session

Still no news on extension of times of Friday evening gaming sessions. Chris Salmon to mail society to see if there is interest for a last-day-of-term gaming session – if there is not sufficient interest the session will not be run – several exec members will already have left. It was also noted that the Argos-procured headphones only appear to fit Chris Salmon’s ears, as other memebers of the exec find them too big.

7. Open Source Project

Ryan has booked room for this sunday’s Open Source project meeting. Chris Smith reported that the time was 7pm until 8pm, with probable retirement to the airport bar afterwards.

8. Alton Towers

Andy can bring a white Ford Escort to the Alton Towers trip.

9. LQ

Intersociety LaserQuest to be pushed forward to next year.

10. Zippy’s

Chris Salmon to book Zippy’s for the introductory social next year.

11. Balance of Power

Chris Smith officially announced the exchange of Exec positions. Chris Salmon now President Jake Staines now Secretary Other positions would have been noted but they don’t appear to have been documented anywhere, and I can’t remember them.

12. Paintball

Chris Salmon noted that a free voucher (presumably conferring some sort of free trip) for Paintballing was given after the last (fiasco) trip, and it was suggested that society again goes along.

13. Locker

Forwarded to next year – book locker for society.

14. Fresher’s Fair

The society’s presence at the Fresher’s Fair was discussed, including: Is it feasible to bring a computer – decided that it probably wasn’t, seeing as there is only limited space and some of this will be taken up with membership card stuff.

15. Inter-University

Inter-University tournaments in various internet-play games proposed. Andy Rudnicki to mail other Computing Societies to put idea forward – also to attempt to garner tips on finding people to do talks, sponsor events, etc., to try and promote the Computing Society as a body that does other things aside form Network Gaming.

16. Next Week

The next Exec Meeting will take place next Tuesday (27th June), meeting in the Fyshbowl at 12pm. Chris Salmon apologises for next week, as he will not present. Mike Squire apologises for the previous eight weeks. (Presumably for not being present, although possibly for other undisclosed misdemeanours.)

1. Membership Cards

Ryan produced a box of self-sealing plastic card covers. The suitability of said covers was discussed at length, including that
  • The society now owns two hundred of them, and
  • They are significantly bigger than credit-card sized.
Ryan also pointed out that there appears to be no such thing as self-sealing credit-card sized covers, unless the society wishes to buy a laminater. Other options of course inlcude trimming the cards, although it was pointed out that the edges thus lost may cause fraying. Also, such covers increase the time taken to hand out the cards at the societies fair.

2. Science Ball

Ryan attended another meeting on the subject: (Coincidentally and amusingly in The Airport at the time of an England Game…) It is proposed so far that this event should take place at the Botanical Gardens, 3rd or 10th of Feb, will cost approximately £30 a ticket, with about 440 tickets available. Physics, Maths, Computing, Chemistry and Engineering societies are already involved, waiting on Biology and Psychology (Which apparently counts as a science.) Sponsorship is being sought, but all handled by one person to avoid clashes. Ryan also said something about a Casino…

3. Friday Gaming Session

Nobody in the 2nd Year will be attending, due to an exam the following morning. Jake agreed to go along, despite probably being slightly tipsy having finished exams earlier in the day. Chris to hand over Society’s collection of Argos-procured headphones on Wednesday. (Completed.)

4. Open Source Project

Due to Ryan having the finance card for the last two weeks, the room for the Open Source meeting weekend of Wk 9 has not been booked yet. Ryan to book room for Open Source meeting weekend of Wk 9, sometime in the evening.

5. Alton Towers

It was noted that
  • So far only six people have signed up, and
  • Chris Salmon is able to bring a midnight blue Fiesta, as it is unlikely any sort of bus/coach will be needed with that low attendance.
At this rate, only one other Driver is needed.

6. LaserQuest

Filmsoc’s reply to a LaserQuest challenge was 'Come on, then’. Will pursue further next term.

7. Gaming

Chris Smith has /still/ not heard from ITS on extending the hours for Friday/Saturday night gaming.

8. Zippy’s/Locker

Carried forward. To be booked Wk 9/10

9. Screenshots

Needed. Still. It was noted that whilst Somebody did indeed say something about this at the gaming session two weeks previously, a great deal of attention was not paid. Jake to make noise again on friday.

1. Laserquest

Filmsoc have replied, saying that they would like to challenge us on Thursday week 10. It was noted that many members would have gone home by then, and so Chris to mail Filmsoc to ask for a game at the start of the first term next year. It was noted that we would need about 12 people to play.

2. Science Ball

The meeting on Monday was attended by 3 ChemSoc, 1 Physoc, 1 MathSoc and Ryan. It was decided that we would aim for about 500 people, that we would try to arrange it at the Botanical Gardens in Birmingham. We need to get sponsorship, and need to arrange a committee of people from the societies to organise the event. BioSoc needs to be contacted. Someone on the committee is to contact the organiser of the Humanities Ball. It is expected to cost £30 for a dinner ticket, but that the majority of the profit would come from after-dinner tickets. We would also like to attract a charity, for tax reasons. There is another meeting in the Airport next Monday at 7:15pm.

3. Union

A description of the society is needed for the Freshers Booklet and the web-site (though one has been sent in for the website). Chris to copy what was sent in for the website.

4. Membership cards

The laminated wallets are 25p per wallet from the Student Shop and come in packets of 10. We also need to print the cards, possibly from Lazer Lizard – with a similar design to Filmsoc, with one side having the CompSoc logo (the lettering from the website), and the other with the member details.

5. Gaming session

The session after the session this Friday needs to have an organiser, as all the second-years have an ISE exam the next morning.

6. Merchandise

We have received a merchandise catalogue, and Ryan is to peruse this for possible freebies for membership, and for merchandise to sell on. It was noted that if we bought merchandise on this year’s budget – it would be a good way to transfer money over to next year.

7. Carried Forwards
