1: Union Training

The upcoming training schedule now stands as follows:

  • Duty Of Care – week 5 Mon (MR2) – All exec
  • Getting the most from your exec – week 6 Mon – Chris Smith
  • Using your Money – week 8 Tue – Jan
  • Advanced Event Management – week 8 Wed – Chris Smith
  • Equal Opps – week 9 Wed – Andy

I’m not sure about times as I don’t have a booklet, but you can get them from the resources room in the Union.

2: Network Games (at CSV)

Chris Smith has drafted a letter. It was suggested that although the exec wishes to consult with a high level within CSV, that this is best done through the chain of command as not to 'go over the heads’ of the sysadmins. A meeting was suggested, as was an email to sysadmins and their superiors, to ensure that everyone knows that a our request exists. It was agreeded that this needed to be done as soon as possible. Chris Smith is to mail the exec the proposed letter, so that any amendments can be made before it is sent.

3: Goldeneye tournament

Venues

The availability and capacity of meeting rooms in the union was discussed, and the exec were told that the following rooms had the following capacities; meeting rooms 1,2,3,6 – 30 people, meeting rooms 4,5 – 60 people. These are free to book, though are popular for bookings.

Zippys is free during the day, as is Lynams Lounge. Zippys is £130 for the evening. It was suggested that if the exec organise an evening event, that they would hope to arrange this with another society in recognition of the lack of females in compsoc. Another venue discussed was L3 – suggested because of it’s large screen – It was agreeded that one person to get in touch with about booking this is Mike Joy, due to his connections with both the University and the FilmSoc, who use L3 regularly. It was suggested that the science concourse seminar rooms could be used for practice before the main Goldeneye tournament in L3. It was suggested that the tournament evening start at 5pm for an 8pm tournament start, to allow players to warm up beforehand.

Details

It was suggested that entrance to the tournament should be set at 50p for members, £1 non-members. Prizes for the tournament are to consist of a winners T-shirt or similar, and a number of amuzing awards (e.g. best death, best slapper, best coward). Entrance is by signing up a week before at the 'warm up’ session the week before the tournament. This was agreed as the wisest decision, as the society can be assured that people will turn up as they have paid to enter. It was suggested that the society should host at least one tournament a term, and that the winners (or finalists) could play each other at a neutral game (such as MarioKart) to decide an overall winner.

Actions

Chris Smith to book the double meeting rooms in the Union for one day in each of the next two weeks from 5pm – about 10pm. The first session is for a warm up and signing up for the tournament. The second week is for the tournament. Andy to find the N64’s and TV’s required. Chris Smith and Andy to draw up the rules of the competition (e.g. random player characters). It was agreed that people offering their N64’s / TV’s would be allowed free entry into the tournament and a buy into the second round. This is to be used as an incentive for people to loan us their consoles/TV’s. This was seen as fair, as these people would most likely reach the second round anyway. Chris Smith to produce and copy posters for the event once Barry gives him some screenshots of GoldenEye to use on the poster. Chris Smith to arrange the winners prize (T-shirt).

4: LAN parties

Possible venues as for the Goldeneye tournament. It was suggested that the society could book Zippys for day at the weekend so that the LAN could be used for the whole day. Chris Smith to investigate. The other concern was that the meeting rooms in the Union could have problems with power. Barry to investigate. A final alternative was that it could be held at a member’s house. It was recognised that if this happened then the society would be prepared to pay for expenses such as electricty.

5: Compsoc server on CSV network

The exec wants one! It was suggested that if the members were prepared to pay about £30 each, that a decent £3000 machine could be purchased. Barry to mail someone as to the possibility of connecting it to one of the University networks.

6: WWW Administrator position

It was raised that there was a new member interested in the position, and that Chris Smith would mail the member who previously showed an interest in the position to see if this was still the case.

7: WWW page

It was suggested that the games page should now contain a table detailing how many copies of different games there are in the society e.g:

  • Game Copies
  • Half-Life 15
  • Quake 30

etc.

It was decided that this would probably be the WWW Admin’s first task.

1: Network Games

Since the last meeting, ITS (CSV) have NOT allowed us to book a room for the purpose of network gaming. The exec decided that a letter should be drafted appealing for, and outlining the advantages of allowing the society to book a room to play network games. Due to this, the exec has decided to change the schedule for the next few weeks as follows:

Tue 26th Oct: Bowling – Meet Airport 7:30pm for bowling in Leamington
Tue 2nd Nov: LAN Party / GoldenEye tournament

2: LAN parties

These were seen as a good alternative to network games, were ITS (CSV) not to relinquish their ban on gaming in the society. It is hoped that members will arrange their own LAN parties for small numbers of people, but that larger LAN parties will be organised by the exec. It was recognised that for this to be feasilble, transport would have to be provided for ~15 machines. It was suggested that the society would pay those attending members with cars, to transport the machines of those without cars. It was also recognised that a venue needs to be arranged, and that Chris Smith, Chris Salmon, and Barry would ask their respective house mates if they could use their house as a venue. It was suggested that a meeting room in the Union could also be used. A suggestion was made that there be 2 rooms (or areas) set aside, so that if more people than computers turned up, that people would have somewhere to wait (and drink!). Also, it was acknowleged that it would take an estimated 1 hour to set everyting up for a 15/16 machine network. It was decided that the society would ban eating and drinking near other peoples machines whilst at a Lan party. Support for the idea was decided to be gagued by means of a form, to be passed around at the first social.

3: GoldenEye (or similar) tournament

It was suggested that the exec organise a GoldenEye or similar console-based tournament to be held in one of the meeting rooms in the Union. An entrance of 50p for members / £1 non-members was suggested, and that the prize could be something like a T-shirt or trophy. It was also suggested that this be a termly event leading to a tournament in term 3 to decide the winner for the year. It was suggested that people could book a time to compete, thus making it possible for people to come and go as they want, to aid problems with only having a few machines. It was also suggested that the final could (university willing) be held in a lecture theatre such as L3, using the large video display (and a long controller lead!)

4: Bowling

Mike Squire is to phone and get details for the next social.

5: WWW

Chris Smith is to contact the SU concerning the link to our society page from theirs.

The technical section of the site is being written. The Linux links page is under construction, the 'how to setup your webspace’ tutorial is finished, and it was suggested that Barry write a page detailing useful UNIX commands.

6: Newwords

It was suggested that the exec take control of breathing life back into the old newwords system.

7: Mailings

Chris Smith is to mail the members reminding them of the social, and that new members can still join by coming along to the socials.

1: New Appointments

The Equal Opps. position has now been filled by Andrew Rudnicki. It was decided that the exec needed to fill the position of 'Social Secretary’

2: Union Training

It was decided that the following people would be attending the following Union-run courses for society exec members:

  • First Aid, week 3 Mon, Barry
  • How to use the Union, week 3 Mon, Chris Smith
  • Using your money, tba, Jan
  • Equal Opps, tba, Andrew
  • Sponsorship, week 4 Mon, Chris Smith, Mike

  • Advanced Event Management, week 8 Wed, Chris Smith

The details are to be finalised by email, and Chris Salmon will register the exec on their courses by Friday.

3: Events / Calendar

The preliminary calendar for the next 3 weeks was decided as:

Tue 19th Oct – Airport – 8pm – First social

Tue 26th Oct – Network Game – 8-10 (meet between 7:30-8:00 Airport)

Wed 4th Nov – Bowling TBA

Possible future event: Laserquest, Lan/N64 party, Computer Show

a) Network Games

Mike said he would try to book a room before Friday, and that he would take the best room he was offered.

It was decided that for each session, the exec would delegate a 'Network Games Administrator’ to oversee the session, to help with installations and ensure that none of the society’s rules are being broken, with particular attention to the use of illegal software.

It was decided that members should bring official copies of any games they wished to play.

It was suggested that a database of member’s games could be drawn up to help people find opponents/games.

Due to the number of people wanting to play expected to be more than the number of available computers, it was decided that a system needs to be used to ensure a fair selection of members being allowed to join. This could be done either on a first-come basis with members emailing the exec if interested, or rota system of/at each session.

It was suggested that the Network Gaming sessions should alternate with other social activities for variety.

Barry was asked to investigate possible technical difficulties involved with running games on the network.

If Mike is unable to arrange a room, this would turn into a alternative social event.

b) Bowling

Mike said he would phone for details.

c) Lan / N64 parties

This was suggested as an alternative to using the University network. Problems include transport and the willingness of the members to move their equipment.

It was decided to gague the members’ opinion as to whether this is viable.

d) Computer Shows

The exec decided to keep an eye out for possible computer shoes which might interest the members. Transport could be either minibus or train, with possible subsidised travel and/or entrance.

4: WWW Page

In response to a member request, Chris Smith has reposted last years Linux page on the new website. However, this was felt to be inadequate, and it was decided that Mike would collate a group of links to Linux-based web pages as a resource for our members.

It was also decided that the site should contain some computing info relevant to Warwick, and especially freshers. Suggestions included info on how to setup a website on CSV and tips on using Solaris (changing window managers etc.)

It was also decided to ask if any members had websites which they would like their entry in the Members directory to link to.

It was also decided that Chris Smith would email the SU about a link on their societies page to the Compsoc site.

5: Other

Details of the compsoc account for the SU resources room were given to all present.

In reference to talks from the industry, the exec acknowledges that this would be difficult due to member apathy about such events, and that a badly attended/organised event would reflect badly on those involved. It was decided that if these did go ahead, they should not take the form of a lecture, but a demonstration. It was decided to leave this for the present.

It is noted that 120 ukp from membership has gone into the account, and the balance is now 231.40 ukp.

It was decided that this exec would try to put in place a constitution for following years so that the society should not have to be set up again from scratch. An annual AGM should be set, and next years exec be properly elected unlike this year.
